Abstract

Given the existence of significant limitations in managing external demands at the Project Application Center (NAP) of the Federal Institute of Brasília, Gama Campus, this study sought to develop a technological solution tool to automate the unit’s workflows, improve the monitoring and control of demands, increase efficiency, and enhance communication among the stakeholders involved. This study aims to describe the features of the software developed to automate operational routines and improve the management of extension projects carried out within the Nucleus for Project Application (NAP) of the Federal Institute of Brasília – Campus Gama. The research is applied and descriptive in nature, utilizing the Design Science Research approach articulated with Business Process Modeling. The results show that the technological solution, developed as a web-based system and mobile application, has the potential to automate service provision to requesters (through standardized registration), making the services offered by the NAP more accessible to the community, facilitating internal process management, and improving communication between faculty and students involved in the projects. The digital tool can go beyond merely digitizing the service workflow by promoting pedagogical innovation, increasing process management maturity within the NAP, and strengthening integration between the institution and micro and small enterprises in the region
